RadiusLocal.ai Meet Privacy Policy

RadiusLocal.ai Meet (app.radiuslocal.ai) is a booking, video meeting and webinar service run by RadiusLocal LLC ("we"). Businesses ("customers") create accounts and use Meet with the people they meet ("guests"). This policy explains what information Meet handles, why, and the choices you have.

Information we handle

• Accounts: name, business name, email address, time zone, password (stored only as a one-way hash), sign-in sessions, and a record of actions taken in the app.
• Bookings and contacts: what a guest enters on a booking or webinar registration page (name, email, phone, business, answers), and the contacts, deals, tasks and notes a customer keeps in Meet.
• Meetings: who joined and when. Meetings run on our own servers. Audio and video travel over encrypted connections.
• Recordings: only when a host starts one; everyone in the meeting sees that it is recording. The host can share a recording by link (with an expiry or none), turn a link off, or delete the recording permanently. A customer can choose to delete recordings automatically after a set number of days.
• Captions, transcripts and AI notes: when captions or AI notes are on, speech is turned into text. Captions are normally made by the participant's own browser. When a browser can't do that (for example Firefox), that participant's speech is sent to our speech-to-text provider, OpenAI, only to make the caption text. AI notes (a summary and action items) are written from the saved captions by our AI provider, OpenAI. Under OpenAI's API terms, OpenAI doesn't train its models on this data.
• Email: confirmations, reminders and invitations we send for customers, and whether they were delivered.
• Billing: paid plans are billed by Stripe. We keep your plan and Stripe's customer reference; card details go to Stripe, not to us.

How information is used and shared

• To provide the service: bookings, meetings, recordings, notes and email that customers ask for.
• Each customer's information is kept separate from every other customer's. A customer's people see their own records; the owner of a workspace sees their team's.
• Service providers that help run Meet: OpenAI (speech-to-text and AI notes), Stripe (payments), Cloudflare (a relay that carries meeting traffic through strict networks, encrypted). We don't sell personal information or use it for advertising.
• We may disclose information when the law requires it.

Consent and choices

• Customers choose whether guests see a notice about recording and AI notes, or must agree before they join (the agreement is logged).
• Hosts can turn AI notes off for a meeting, and guests can turn captions off on their own screen.
• Email we send for a customer includes how to stop it where the law requires.
• A customer can export or delete their records; ask us and we'll help.

Keeping information

We keep account and meeting information while the account is open. Recordings are kept until a host deletes them or the customer's retention setting removes them. When a customer closes their account, we delete its records when they ask, except where the law requires us to keep them.
